Dollars, Nickels and Dimes! What do you really save with EDI?


In 2010, GS1 UK commissioned Professor Richard Wilding of the Cranfield School of Business Management to carry out a report on EDI (Electronic Data Interchange) with regard to the UK retail sector. Professor Wilding and his team performed exhaustive research and highlighted in great detail all the advantages that are normally associated with EDI: It's faster, data is more accurate, improved process efficiencies, cost savings and it eliminates paper. He also went one step further; he put the savings associated with switching from manual, paper-based processing to EDI processing into a monetary format (and even broke it down into separate sectors - Order, Invoice, ASN). For the purpose of ease and accuracy I have converted the reports Stg£ values into US$. These are the savings Professor Wilding and his team at Cranfield School of Business Management calculated:

·         Orders:                                            $23.00

·         Invoices:                                          $14.00

·         Despatch Advice (ASN)                 $19.00

Total                                                  $56.00

As can be seen from the above, by switching from a manual paper based transaction to EDI you can save your organization $56.00 per transaction in dollars, nickel and dimes. To put this in real terms, if your organization was processing 50 orders per month, and with each order a matching invoice and ASN was required, your organization would be making savings of $2,800 per month by switching from paper to EDI. Obviously the savings are much greater the more transactions your organization makes.

Will EDI work with 'Cloud' based ERP systems?


Question: Roger, we are considering switching our current on-premise ERP solution to a new cloud-based ERP solution. Will this affect our capabilities to continue doing EDI with our trading partners?

Answer: The short answer is no, it should not. At B2BGateway we have been providing fully-integrated EDI solutions for the leading cloud-based ERP providers such as NetSuite and Sage ERP X3 for over a decade. However, like everything else, you will need to do your homework to see if the new cloud-based ERP system you are considering is EDI capable. I would advise finding out the following:

·         Is the new ERP system fully cloud-based, or is it a hosted online version of a current on-premises ERP product?

·         Does the ERP system have both import and export functionality?

·         Will you need to purchase additional EDI modules/connectors from the cloud ERP vendor?

·         Is your current EDI provider capable of working with and integrating the new cloud based ERP solution? If not, are there other third party EDI providers on the market who can work with the new product?

·         Does the cloud-based ERP vendor currently have clients and partners using EDI with their system and can you get references?

I would also go to online sites such as LinkedIn to see are there any user groups for the new ERP system. You could post a question amongst users to see if any are currently using EDI and to get their recommendations. Black Friday and Cyber Monday: Stay Calm - Don't PANIC!


The term "Black Friday" may have originated in Philadelphia, where it was used to describe the heavy and disruptive pedestrian and vehicle traffic which would occur on the day after Thanksgiving. More recently, merchants and the media have used it instead to refer to the beginning of the period in which retailers go from being in the red (i.e., posting a loss on the books) to being in the black, (i.e., turning a profit) yeah!
 
Cyber Monday, on the other hand, is a marketing term for the Monday immediately following Black Friday; the Friday following Thanksgiving Day in the United States. The term made its debut in 2005 in a Shop.org press release entitled "'Cyber Monday' Quickly Becoming One of the Biggest Online Shopping Days of the Year".  Here are a few fun and not so fun facts.


According to The National Retail Federation, shoppers spent $11.4 billion on Black Friday in 2011, and total spending over the four-day weekend following Thanksgiving reached a record $52.4 billion, which was up 16% from $45 billion the year before.  A record 226 million consumers shopped in stores and online between Thursday and Sunday, up from 212 million in 2010.  Individual shoppers spent more too, the NRF said, with the average holiday shopper shelling out $398.62 this weekend alone, which was up from $365.34 in 2010.  (Sources: moneycnn.com, shine.yahoo.com)
As most who have ever ventured out to participate in this annual ritual are likely aware, crowds abound, and people can get a bit carried away at times.  One 2011 Black Friday incident included a woman who injured 20 people at a Walmart in California while clearing her way to an X-Box display using pepper spray.  However, there are happy stories as well.  According to the New York Daily News, two individuals have Black Friday to thank for their unique love-at-first-sight story. The two lovebirds struck up conversation while standing in line at a Long Island Kmart. The small talk turned into sweet talk as the two waited in line together for a total of seven hours before doors opened. Fast forward a few years, and the couple is happily married with fond memories of the day they met.

Pretty crazy stuff. For us, at B2BGateway.Net, it’s a little less hectic, a lot more controlled. We see an enormous amount of EDI traffic on both days but we’re way more relaxed than the shoppers out there losing their minds and pepper spraying babies for video games. Why outsourcing EDI may make sense for your organization.



Although EDI (Electronic Data Interchange) has been around since the late 1970’s, it started gaining increased traction in the early to mid 1990’s. The increased popularity in the 1990’s was mainly due to a heavy push from large organizations with large transactional volumes to reduce costs and increase efficiencies through automation.

Unfortunately, the very thought of EDI, can be daunting for an organization that has not used EDI before or has limited IT resources. The initial reaction is that EDI has been ‘forced’ on their organization by a large retailer or trading partner. Terms such as ANSI X12, UN/EDIFACT, Tradacoms, VAN, AS2, seem like Double Dutch and better still, the traditional English language has been replaced by numeric values, e.g. a Purchase Order is now called an 850, an Invoice becomes an 810, a Ship Notice becomes an 856, and so on. After a short period in production, the new EDI user will suddenly understand the benefits of EDI for their organization – reduced errors, shorter order to payment cash cycles, and reduced costs.

As mentioned above, there are many standards and communication protocols associated with EDI – in North America ANSI X12 is the predominant EDI standard, whereas in Europe and the Far East a far more popular standard is UN/EDIFACT. Some trading partners prefer to communicate through a VAN (Value Added Network), whereas others will prefer AS2 or FTP. Add to this mix a myriad of 318+ recognized EDI documents, customized mapping and reporting functions and it is clear to see why EDI becomes a daunting task for any organization.

It is at this stage that outsourcing your EDI requirements should make sense to your organization. Outsourced EDI solution providers come in various shapes and sizes. Some providers will require you to invest in your own mapping solution and they then develop the maps. "Your call is important to us"..........


While recently trying to pay a utility bill that didn’t go through due to Ulster Bank’s recent technical problems (a whole other story that I won’t get into now.....), I had reason to call the said utility company so that I could make payment and ensure that my service was not interrupted.
Oh, how I just love automated telephone answering systems, please dial 1 for this, 2 for that, 3 for the other and so on. While you are doing this, following the instructions, you are constantly being told by an automated voice that your call is important to them. When you eventually get to the department that you wish to speak to, you are asked to key in your account number. Then you are told that 'all operators are busy please hold', but at the same time being constantly reminded by that automated voice that your call is important to them.
However, on this particular occasion, I received a new option, the automated voice told me that if I pressed 6, my call would be logged as my number was on their screen, that I could hang up and that when the next operator becomes free they would call me straight back. Fantastic! I thought to myself, no more hanging on the line for 32 minutes listening to crap music, advertisements or being told how important my call was. The only problem is I pressed 6 on July 2nd, it is now July 25th (23 days later) and nobody from the said utility company has returned my call.
This has led me to start thinking about B2BGateway and how we handle our customer care. When I started with B2BGateway in April 2010, one of the key USP’s that was mentioned over and over again was that each B2BGateway client is assigned a dedicated Support Engineer. At first I thought to myself big deal, but now, even though our company is experiencing tremendous growth, I see how important it is for all our clients to have direct human contact.
